Section AFootage And Contributor Material
Rushes, sound rolls, stills and paperwork all come back from a shoot, and part of that haul carries somebody’s identity with it — a face held in frame, a voice on a track, a signature at the foot of a release, a name typed onto a call sheet or a delivery note. GUTS OF PURPLE LTD files that part as personal information belonging to the production it came off, and guards it alongside the masters, under the same care as the material it sits with.
Section BEnquiries And Correspondence
The other route runs through the mailbox. A message addressed to [email protected] carries whatever name stands at the end of it, the return address it travelled from, the substance you decided to set down, and any attachment you sent along; each reply leaving the office joins the same thread. Keeping a thread intact is what allows a conversation to resume later at the exact point it paused.
Section CWhy The Company Holds It
Production material earns its place because a piece has to be developed, shot, finished and handed over, and because the company must be able to show what was settled with the people in front of the camera and the people behind it. Correspondence earns its place because an enquiry deserves an answer drawn from the record instead of from recollection, and because an undertaking given by the office stays traceable afterwards. Both sit among the ordinary books a limited company keeps.
Section DHow Long It Is Kept
A production file lives as long as its production does: through development and the shoot, on while the delivered version stays in use, and further still while the permissions attached to the footage may need to be produced. A running enquiry holds its own thread open; once the matter closes, that thread settles into the company’s general papers and runs out the term those papers are given. Sums raised against a job sit in the accounting records for the span company accounts have to cover. A file that has outlived every one of those terms is destroyed.

Whatever sits on file under your name is open to you on request, and a copy travels back with the answer. A detail recorded wrongly gets put right. Material the company is under no duty to keep is cleared out when you say so. A use you disagree with can be argued against, and a use under question can be narrowed or held still until the point is settled. What you supplied yourself can also be issued in a form you are able to hand on to somebody else. Naming the production, or pasting the message concerned into your request, spares the office a hunt for the right file, and a reply follows inside the statutory window. Where a release form or a delivery record has to remain on file, the answer says as much and gives the reason. An answer that settles nothing may be carried further: the Information Commissioner’s Office holds the supervisory remit for this ground in the United Kingdom.
